Why Your Listing Emails Land in Spam
You sent to four hundred investors and got six opens. The problem is usually not the subject line: it is authentication.
Deliverability is mostly a technical question
Brokers tend to blame copy when a blast underperforms. Copy affects whether a delivered email gets opened. It has nothing to do with whether the email is delivered at all, and in commercial real estate the second problem is far more common than the first.
The three records that decide your fate
- SPF lists the servers allowed to send as your domain.
- DKIM cryptographically signs your messages so a receiver can verify they were not altered and really came from you.
- DMARC tells receiving servers what to do when the first two fail, and asks them to report back.
Since 2024, Google and Yahoo require all three from anyone sending in volume. Without them your mail is not marked suspicious: increasingly it is simply not delivered.
Sending as your own domain matters twice over
Sending listing emails from a generic platform address hurts on both fronts. Technically, you inherit whatever reputation that shared infrastructure has. Commercially, an investor scanning a crowded inbox recognises your brokerage's domain and does not recognise a SaaS product's. Authenticating your own domain and sending from it fixes both problems at once.
The list is the other half
Authentication gets you to the gate; list hygiene gets you through it.
- Send to people who opted in. A scraped list produces spam complaints, and complaints damage the domain reputation you just built.
- Honour unsubscribes immediately, including one-click list-unsubscribe headers, which the major providers now expect.
- Suppress bounces and complaints automatically. Repeatedly mailing a dead address is a strong negative signal.
- Include a real physical postal address. Required by CAN-SPAM, and its absence is a filter signal in its own right.
Segment before you scale
Four hundred recipients who receive everything will unsubscribe faster than four segments of a hundred who receive only what is relevant to them. Segmenting by asset class, market, and past engagement improves open rates and protects the sender reputation that makes the next campaign land.
Watch the right number
Open rate has become unreliable: privacy features pre-fetch images and inflate it. Clicks, and what people do after the click, are what actually correlate with deals.
